Privacy notice

This notice explains how Deeplink Coaching uses personal information when you contact us, join our coaching programme or visit this website.

Who we are#

Deeplink Coaching (“we”, “us”) is the controller of this information. You can contact us about anything in this notice at coaching@deeplink.uk .

What we collect#

• When you email or call us: your name and contact details, your CV if you send one, and what you tell us about your situation, goals and deadlines. If you are a parent or guardian, please only tell us what the person you are contacting us about is happy for us to know.
• When you visit the website: our host, Cloudflare, processes technical information such as your IP address to deliver the website and protect it from attacks. We use Cloudflare Web Analytics to count visits. It does not use cookies and does not track you across other websites.

How we use it, and our lawful basis#

• To reply to you, arrange a call and, if you register your interest in a future round, tell you when places open. This is a step you ask us to take before any agreement with us (UK GDPR Article 6(1)(b)), or, where a parent contacts us for someone else, our legitimate interest in answering (Article 6(1)(f)).
• To keep the website secure and understand how many people use it. This is in our legitimate interests (Article 6(1)(f)).

We do not sell your information, and we do not send you marketing without your consent.

Cookies#

We do not set any cookies. Cloudflare may set a strictly necessary cookie to tell people apart from automated traffic.

Who we share it with#

We use these service providers, who process information on our behalf and only on our instructions:

• Google, which provides our email.
• Cloudflare, which hosts the website.

Some of these providers process information in the United States. When information leaves the UK, it is protected by safeguards recognised under UK law, such as the UK–US data bridge or the International Data Transfer Addendum.

How long we keep it#

If you do not go ahead with coaching, or you are waiting for a future round, we delete your emails, CV and notes within 12 months of our last contact with you, or sooner if you ask. If you do, they become part of your coaching record, described below.

If you join our coaching programme#

When you enrol, we also use:

• your student agreement and payment records, and the name and contact details of anyone who pays on your behalf
• your CV, applications, project work and our feedback on it
• notes from your coaching sessions, and how your job search is progressing
• any adjustments you ask us to make, which we keep confidential

We use this to deliver the programme you have agreed to (UK GDPR Article 6(1)(b)), and we keep financial records because the law requires it (Article 6(1)(c)).

We share it only in these ways:

• Deeplink, our sister company, receives your name, contact details, CV and Launch Track so that it can set your digital internship brief.
• The person who pays, if it is not you, receives information about your progress only if you agree to this in your student agreement.
• Employers receive a reference only if you ask us to give one.

We keep your coaching record for up to six years after your programme ends, in case of questions or claims, and payment records for as long as tax law requires. We then delete them.

Your rights#

You can ask us for a copy of your information, and ask us to correct it, delete it, restrict how we use it, or stop using it. You can also ask for it in a format you can take elsewhere. Email coaching@deeplink.uk and we will reply within one month.

If you are unhappy with how we have used your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice#

If we change this notice, we will update this page and the date at the top.
